Aspen Online Student Registration Form

You can register your child for Waltham Public Schools using the Aspen Online Registration Form.
IMPORTANT: If you have a child already enrolled in the Waltham Public Schools in grades Pre-K - 12 and receive an error message while trying to set up your Aspen account, try using a different browser. If you are still unable to access the online form, please contact the Parent Information Center for assistance.
Online registration is a process that involves a few steps starting with your valid email account. Click to view the information.

ALL REQUIRED DOCUMENTS MUST BE PRESENTED AT THE TIME OF REGISTRATION
Copies of the following documents may be either uploaded to the Online Registration Form or submitted to PIC via EMAIL, FAX or DROP-OFF.
Original documents are to be presented upon request.

- Proof of Guardianship / Photo ID

- Homeowners:
- City of Waltham quarterly tax bill -OR-
- Copy of Purchase & Sales or Deed for a new home purchase

- Current Lease Agreement - Signed & dated within one year -OR-
- Residency Affidavit Form [English} [Spanish] [Portuguese] [Haitian Creole]

*The residency requirement policy does not apply to students who come under the McKinney-Vento Act as they are enrolled immediately. To learn more about the McKinney Vento Act, please visit the McKinney-Vento Homeless Assistance page.

The Waltham Public Schools, in compliance with regulations of the Massachusetts Department of Public Health, require the following documents:
- Copy of a physical exam
- Copy of a current immunization record: Massachusetts Immunization Requirements
Your child's MOST RECENT physical exam and immunization record must be submitted at registration. This will be reviewed and if needed, updates to fulfill the requirements for school enrollment will be requested by a school nurse. All the following documents must be submitted to PIC via EMAIL, FAX or DROP-OFF:
- Physical Exam (dated within 12 months to the start of school)
- Immunization Records:
- Hepatitis B - 3 doses
- DTP - 5 doses
- Polio - 4 doses
- MMR - 2 doses
- Varicella (chicken pox) - 2 doses or record of natural disease documented by a physician
- Influenza - 1 dose; received annually by December 31st of each school year
- Lead Test (date and number results)
- Vision Screening including Stereopsis Exam (date and results)
Please complete forms in their entirety and submit them along with ALL required documentation, to the Parent Information Center:

IMPORTANT: Your child will not be cleared for school enrollment until their immunization records have been reviewed for compliance by a school nurse and lead test results have been received. Students that have not been medically cleared before the first day of school, may not attend until documentation of all missing medical requirements have been received and cleared by a school nurse.

Register a New Student using the Aspen Online Registration Form
If your child is new to the Waltham Public Schools, or is not enrolled in one of the district schools (i.e. is homeschooled, attends private school), then you will register your child using the Aspen Online Registration Form following the steps below:
- Request an Aspen Family Portal Account at this link: Aspen Logon and click Request an Account to open the Account Type window, select the account type and then Next Step.
- In the Create your Aspen Family Account window and enter your first name, last name, address, and phone number. Select Next Step to open the Account Information window and enter your email address and password. Select Create My Account and you will see a Confirmation window. If not, please review and reenter the email or password information you entered incorrectly.
- Check the email you provided for a message with your new account information and click on the link in the message to validate your email and you will see an Email Validation window with a verification message.
- Go to Aspen Logon and enter the email and password you used to request the Aspen account and click the Log On button to log into your new account.
- Your Aspen dashboard will open in the Family View and in the Chose My Language widget box click on the box and select English (the default is English) or Spanish from the drop box. Navigate to the New Student Registration widget where you will select the +Initiate button to select and access the Online Registration Form.
- Under School Year Selection click on 2026-2027. The Dual Language School Lottery information can be found on the Kindergarten Registrations Only tab. Fill out each section and Submit when you are finished. You can save the form and return at any time to complete.

The date & time of the lottery to select families for the 2026-27 Kindergarten class at the Dual Language School is:
- May 8, 2026
- The Dual Language School Staff will contact participating families directly with their lottery results.
To participate in the lottery, parents must have:
- Registered your child for Kindergarten before May 1, 2026.
- Submitted ALL required documents.
- Indicated on your child's Online Registration Form, or notified a PIC staff member that you want to participate in the lottery.

The following information is currently not translated on the Spanish version of the Kindergarten Registrations Only tab under the Dual Language School Lottery section. Below is the information:
- Waltham Public Schools offers students registering for Kindergarten a chance to enroll in the Dual Language School. Enrollment is determined by a lottery in the spring prior to the beginning of the school year. For more information about the Dual Language School including the expected date of the lottery, please visit: Dual Language School or view the Dual Language School Flyer.
- For children who are registering for enrollment in NEXT YEARS Kindergarten class, please indicate if you want your child to participate in the Lottery for admission to the Dual Language School and which language section of the lottery best represents your child's dominant language. If you would not like to be part of the lottery, please select "Not Applicable"
- To help determine which section of the lottery your child will be placed, please indicate the dominant language used in your household, English, Spanish, or other and provide the language.

What do I need for Proof of Residency?
Any parent or guardian registering a student for the Waltham Public School, or having a change of address, must satisfy Waltham Public Schools Residency Requirements by providing one document in his/her own name from the Proof of Residency column in the Residency Requirements table below. Additionally, families of enrolled students who change residency at any time must report this change immediately to the Principal of each school in which their children are enrolled.
The residency requirement policy does not apply to students who come under the McKinney-Vento Act as they are enrolled immediately. To learn more about the McKinney Vento Act, please visit the McKinney-Vento Homeless Assistance page.
Residency Requirements
PROOF OF RESIDENCY PROOF OF OCCUPANCY PROOF OF IDENTIFICATION ONE of the following documents TWO of the following dated within the past 30 days* ONE valid photo identification from the following list - City of Waltham Quarterly Tax Bill
- Current Signed Lease Agreement
- Cable/Satellite TV Bill
- Electric, Gas, or Water Bill
- Home/Renter's Insurance
*Location of the service, NOT the mailing address.
- Driver's License
- State Issued ID Card
- Passport
- Military ID
- Other Government-Issued Photo ID
Any parent or guardian who cannot produce a residency requirement in his/her own name from the Proof of Residency section above must complete the Waltham Residency Affidavit Form [Spanish] [Portuguese] [Haitian Creole] along with the Owner, Lessee or Landlord of the property using the following guidelines:
- Parent or Guardian Completes SECTION I.
- The Owner, Lessee or Landlord of the property where the applicant lives completes SECTION II.
- The TWO separate notary sections are BOTH to be filled out and signed by a notary public, and both parties may have the form signed and notarized at different times.
- The completed and notarized form is submitted to the PIC office for new registrations, and the school for address changes, along with TWO items from the Proof of Occupancy and are the only documents accepted.
- All Waltham Residency Affidavits submitted will be provided to the District’s Attendance Officer for further investigation.
What if I live with a friend or relative?
The parent/guardian and owner/renter must complete the Residency Affidavit and both signatures must be notarized. A notary is available in our office and requires the person to be present. The person with whom you are living with must submit a Proof of Residency, Proof of Occupancy and photo identification.
What if my family does not have a permanent residence?
The proof of residency policy does not apply to homeless students and families covered under the McKinney-Vento Act. Contact our office for assistance with registering your child. If you are staying in a shelter, bring a letter from the shelter staff stating that you are living there. The McKinney-Vento Liaison for the Waltham Public Schools will work with you.
